Administrative Coordinator

Description

PLA's Administrative Coordinator is a broad role providing support to staff and volunteers. Key duties include maintaining and refining administrative systems and providing project, bookkeeping and administrative support. This is a part-time position (24 hrs/wk, three to four days with some flexibility) and requires periodic involvement outside of regular business hours.

Relationships

    • Reports to Executive Director
    • Receives direction from and assists volunteer PLA Leadership Team
    • No supervisory duties

Responsibilities

    • Administrative assistant to Executive Director
    • Ministry program support. Processing new group members; administrative support and planning for special events and leadership trainings; bulk mailings; meeting scheduling and reminders.
    • Database support. Online database (Fellowship One) support including data entry, running reports and queries, updating profiles, managing group lists.
    • Tracking member payments. Monitoring and ensuring group member accounts are current; communicating with members on delinquent payments.
    • Bookkeeping. Processing donations and receipts, group fees, bill payments; making bank deposits.
    • Donor relations. Tracking donor giving; issuing monthly and bi-monthly donor mailings.
    • General office tasks. Printing, phone, copying, filing, shopping and errands.

Competencies

    • Two years administrative, program or project management experience, and/or experience in development and maintenance of administrative processes and systems
    • Strong database expertise (Fellowship One a plus)
    • Mac experience desirable: Pages, Keynote, intermediate Numbers, typing 40wpm
    • Collaborative team player
    • Excellent organizational skills and attention to detail
    • Successful experience working with volunteers
